An employee apparel size survey that protects your order

For an employee apparel order, collect sizes against the exact garment's size chart, set a clear response deadline and confirm the final totals before production. Don't convert a list of everyday sizes into an order without checking the blank. Sizes and cuts vary between products.

Choose the garment before collecting final sizes

Tell employees the brand, style and fit options. Provide the supplier's chart and instructions for using it. Clarify whether the chart shows body measurements or garment measurements; those are different things.

A sample or try-on set can help when fit is important. Ask the supplier about availability and cost. Don't promise exchanges on decorated garments until the supplier confirms the policy.

Keep the survey short and private

Collect only what is needed to fulfill the order. A useful form can contain:

  • Employee name or internal order reference.
  • Selected garment and fit option.
  • Requested size and quantity.
  • Confirmation that the person reviewed the specified chart.

Use a private response method rather than posting everyone's sizes in a public spreadsheet. Give employees a contact for fit questions and a way to correct a response before the deadline.

Reconcile people, garments and totals

CheckCommon mismatch to catch
ResponsesMissing employees or duplicate submissions
ProductA size entered against the wrong fit or garment
QuantityIndividual requests that don't match the total order
AvailabilitySizes or colors that the supplier cannot supply
ChangesAn update received after the list was exported

Use one dated final version. If a substitute garment is proposed, ask affected employees to confirm sizing again rather than silently carrying their selections over.

Decide how extras and reorders work

Discuss new hires, replacements and spare stock separately from the initial survey. There isn't one size ratio that fits every team. Use your actual responses rather than an invented “standard” distribution.

Ask the supplier which details must be retained for a matching reorder: blank style, color, artwork, decoration placement and proof. Stock and dye variation can still affect future availability.

Read the group-sizing guide and reorder checklist. To request a quote, provide aggregate quantities and garment preferences first. Share individual fulfillment details only through the supplier's agreed process.
